Position: Operations Manager
Reports to: Executive Director
Location: Redwood City, CA/Hybrid, 2-3 days on site required
Position Type: Full-time (~ 40 hours per week)
Organizational Background: PYSF is a non-profit organization focused on the education and enrichment of youth in SanFranciscoBay. We have over 60 sailboats and 10 safety boats in our fleet to assist in our mission. Our staff is comprised of five full time employees and an additional 20 seasonal hires. The program sees just over 150 students over the school year, and an additional 200 kids over the summer months.
PYSF’s mission is to provide a comprehensive sailing program for all youth in the Bay Area. From learn-to-sail to national travel teams, our classes stress safety and cultivate the values of character, community and competitiveness. Key Responsibilities:
- Plan, schedule and take notes for regular operational meetings and other all-staff meetings as required;

Maintain facilities efficiency by planning and implementing systems, layouts, storage management, and equipment/services procurement to ensure they support staff productivity;

Greet and host incoming visitors, parents, sailors, BOD and donors when in the office. Display PYSF values in all interactions;

Manage relationships with relevant office vendors and service providers;

Answer incoming phone calls and emails, route, and provide follow up communication as necessary;

File important documentation in office and virtually in shared drives and coordinate with the appropriate staff for signatures and approvals;

Coordinate monthly credit card expense reconciliations and facilitate the collection of receipts and supporting documents;

Perform record-keeping for accounts payable and receivable

Assist with registering participants in classes and regatta events

Coordinate and validate employee and contractor expense reimbursements and assist with travel related bookings and travel expense reporting

Maintain and safeguard confidential personnel records

Perform Payroll bi-monthly
Relevant Experience and Skills:
● Fluency in English;
● Bachelor’s degree in finance or a minimum of 5 years of experience in Office
Management and/or accounting; QuickBooks experience a plus.
● Highly organized, with a strong attention to detail;
● Experience using cloud-based collaborative software including Google Drive,
e-mail, etc.;
● Good verbal and written communication skills;
● Experience with the Google Workspace preferred;
● Ability to operate in and enjoy a collaborative, team-oriented culture;
● Strong natural alignment with PYSF values
● Non-profit experience desired
