Job Description

POSITION: Race Coordinator, New York Yacht Club

STATUS: Full-time position based in Newport, R.I.

OVERVIEW:

The Race Coordinator reports to the Race Manager and works as part of a team which operates all aspects of the club’s water activities.

RESPONSIBILITIES:

Responsibilities include, but are not limited to, the following:
Regatta organization:
  • Development and posting of registration forms and related materials for all events
  • Ongoing management of registration process including confirmation of waivers, payment and rating certificates. Follow-up communications and forms development as needed per individual regatta.
  • Provide status and “pace” reports on sign-up as needed and oversight of final on-site registration.
  • Interface with club treasurer’s office to assure proper billing and credits as needed, including collection of data from third-party service Yacht Scoring and other vendors.
  • At the direction of Race Manager, work with regatta chair to select, order, and receive sailing trophies, gifts, etc. for all events or awards ceremonies. Manage all aspects of swag distribution at registration and/or trophies at event prizegiving.
  • Assist with sponsorship activation as required with emphasis on distribution/ordering of swag, gifts, etc. to event participants.
  • Responsible for assuring all standard forms are updated and accurate.
  • Arrange housing during events for race committee volunteers, umpires, judges and sponsors.
  • Assistance with the Annual Cruise including registration forms, sign-ups, billing, cruise gift, and cruise book.
 NYYC - General
  • Receive, code and monitor all invoices and manage all billing for regattas and other Sailing Office activities.
  • Manage all Helly Hansen orders, inventory, etc. for Race Committee, staff and any other related purchases.
  • Administer contracts and billing for the IC37 Charter Program.
  • Assist with Commissioning for all aspects of Sailing Office responsibilities.
  • Manage Annual Awards trophy orders and invitations.
  • Create website posting and updates.
  • Provides phone service and on-site greeting and service to members and visiting sailors in the Sailing Office. The Race Coordinator should have a working knowledge of club operations in both houses, be comfortable using club management system and be able to refer or assist members directly with a variety of items.
  • Manages office supplies inventory and places orders as necessary.
  • Provide administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research and creating reports.
  • Manage all mailings required including Race Committee gear, trophies and Annual Cruise books.
  • Attends weekly House and Sailing office meetings.

 

Job Requirements
• Sailing background.
• High energy, positive attitude able to handle demands of a busy, seasonal operation.
• Experience with high-touch customer service. Private club experience a plus.
• Experience with financial processing and P&L management preferred.
• Strong writing skills, fluent in Microsoft Office suite of applications, particularly Excel and Word, and skilled in general on the computer.
