Job Description

Job Summary/Objective

The OYC's Junior Sailing Program (JSP) has been teaching sailing since 1947 and became a recreational day camp in 2012. As a day camp, it complies with regulations of the MA Department of Public Health (MA DPH 105 CMR 430.00) and is licensed by the Orleans Board of Health and follows a specific Policy & Procedure document which has been approved by the Orleans Board of Health. The program is comprised of different levels of instruction which use Opti's, Capri's, Precisionl5's & 420's. Instruction is based on U.S. Sailing standards.

 

The Junior Sailing Program & Camp Director (JSP&CD) is responsible for oversight of the sailing program's operations, performance and planning while maintaining compliance and permitting by the local Board of Health and other state or federal authorities governing recreational camp regulations. The JSP&CD must demonstrate a consistently positive attitude and have a sense of humor in a fast paced environment which has frequent interruptions. This job is a combination of physical and administrative work and takes place both indoors in office settings and outside in various weather conditions

 

The JSP&CD will maintain an environment for both staff and students that prioritizes safety, learning and fun while demonstrating the JSP's mission and values of teamwork, good sportsmanship, honesty, courtesy and consideration.

 

Reporting: The JSP&CD reports directly to the Vice Commodore and in his/her absence the Commodore then the Rear Commodore in that order. This position also works closely with the OYC Administrator. The JSP&CD's evaluation is performed jointly by the three OYC Commodores.

 

Expected Hours of Work & Benefits: This is a full-time salaried position for 40+ hours/week (early-June to mid/late­ August) and is to be on site at all times during the program's operation. Schedule includes some weekends, early mornings or evening hours depending on circumstances/needs. Some work is expected in the off months for wrap up reporting, next season planning, preparation, budgeting, & staffing as/when needed. If the JSP&CD is to absent for over 12 consecutive hours from the Camp for any reason, the Vice Commodore is required to be onsite and fulfill the JSP&CD's duties. No benefit package is offered. Sick time is accrued/awarded per current MA regulations after initial 90 days of service.

 

Physical Demands: This position is required to perform administrative duties and outdoor activities in various environmental conditions. It also requires the ability to lift up to 50 pounds.

Job Requirements

Education/Experience/Qualifications:

  • Bachelor's Degree
  • Education/training in elementary or early childhood education, youth recreation management or equivalent experience
  • Experience supervising or working with children eight years old to seventeen years old
  • Experience supervising or working with staff ranging from 16 years old to 25 years old
  • Successful completion of a course in camping administration OR two seasons of equivalent experience
  • Must be at least 21 years old
  • Experience with yacht clubs or sailing organizations
  • Five (5) positive work and personal recommendations

 

Other Requirements:

  • Shall have his/her own car and a valid driver's license
  • First Aid/AED/CPR
  • Positive CORI/SORI results.
  • Current certificate of immunization & health care records compliant with current standards
  • May be asked to submit to driving checks and drug tests

Responsible for oversight of the JSP:

  • Manage daily aspects of JSP in accordance with US Sailing standards and OYC Camp Policies and procedures as defined by MA Department of Public Health regulation 205 CMR 430.
  • Develop and implement crisis and risk management procedures (this could be with JSP Committee assistance)
  • Conduct fire drill, oversee practice of emergency procedures, contingency plans
  • Conduct incident in'v'.estigations, reporting as necessary
  • Comply with "Burgee Program" Junior Sailing Safety Manual by Gowrie, Burden & Brett Insurance. (this could be with JSP Committee assistance)
  • Meet with JSP Staff daily re: daily planning, relevant issues/problems, etc.
  • Share results at year end wrap-up meeting with OYC leadership
  • Regularly seek and analyze input regarding JSP quality, safety, etc.
  • Maintain established crisis and risk and management procedures
  • Oversee and direct Instructors in emergency situations
  • Demonstrate and enforce safe and appropriate use of docks and watercraft
  • Be available to assist OYC off-hours in the event of storms or other emergencies during JSP
  • Meet weekly with VC and/or other commodores
  • Work with Parent Committee
  • Be a member of and work closely with JSP Steering/Guidance Committee

 

Responsible for Program reporting:

  • Prepare reports from registration records and analyze enrollment trends for leadership
  • Help establish, implement and maintain program budgets
  • Evaluate program and identify areas needing improvement, elimination or retention
  • Assist RC with preparing annual and long-term property plan and requirements

 

Responsible for a marketing strategy for JSP:

  • Provide information for JSP website, application and brochure updating, preparation and distribution

 

Responsible for property and equipment: (assisted by Rear Commodore/Marine Committee Team Leaders)

  • Oversee and participate fully in program set-up and breakdown weeks
  • Demonstrate and enforce safe and appropriate use of dock and reiated waterfront facilities
  • Assist with assessment of JSP property and maintenance needs to ensure resources
  • Document in log & Arrange for repairs and make sure enough equipment is available for classes (assisted by Rear Commodore/Marine Committee Team Leaders)
  • Daily general inspection of waterfront, sailboat moorings, 420 docks and practice raft, motorboats and sailboats
  • Guide Instructors in proper equipment care and basic maintenance of sailboats
  • Report issues, damages, repairs to the JSP&CD and RC as soon as possible
  • Maintain log of equipment failure, motorboat/sailboat damage and issues, required/completed repairs
  • Regularly assess/maintain motor boat first aid kits and safety equipment
  • Transport, clean, inspect, rig/de-rig, inventory equipment and parts, set up Opti and 420 storage racks

 

Responsible for JSP staffing:

  • Develop/implement staff recruitment & retention strategies
  • Creates and/or offers feedback for all official communications with instructors
  • Hire and fire instructors as needed (assisted by VC)
  • Assess work performance, provide ongoing feedback, counsel, and discipline staff as needed
  • Resolve program and staff complaints, note suggestions
  • Coordinate and place orders for staff uniforms
  • Approve staff expenses with receipts, submit to JSP&CD
  • Complete written evaluations for JSP staff at the end of each season
  • Be available for off-season discussions and JSP planning and staffing when needed

 

Responsible for JSP staff training:

  • Schedule, organize and lead a pre-season training and orientation session
  • Provide a review of state, local and OYC specific rules and regulations as well as job descriptions
  • Provide further instruction for novice instructors as needed
  • Attend regional sailing meetings (SMSA and US Sailing) as needed
 

 

Responsible for JSP programming and curriculum:

  • Oversee Instructor scheduling, absences, class coverage
  • Meet with instructors daily re: daily planning, relevant issues
  • Review and submit Instructor time sheets
  • Assist Instructors with lesson planning and foster their development as Instructors
  • With JSP staff, coordinate activities such as Pirate Day, Outer Beach picnics, Olympics, Regattas, etc.
  • Organize Awards Night - arrange for RSVP notices, video, presentations, and trophies
  • Schedule private lessons and submit monies to JSP&CD
  • Assist Instructors with JSP participant evaluations/advancement if needed
  • Communicate evaluations with students/parents and note for the following year
  • Assist Race Coach with organizing, support, planning/attending racing/regattas (Thursday Races, SMSA, etc.)
  • Maintain regatta results/Instructor award recommendations and order awards/trophies accordingly
  • Coordinate/implement annual JSP Pot Luck Supper and Awards Night
  • Contribute to team effort by assisting other staff members as and when needed
  • Adheres to and executes on student discipline plan as needed

 

Responsible for JSP extra-curricular activities:

  • Organize JSP Town of Orleans Fourth of July parade entry and student's participation rosters
  • Oversee staffing of JSP weekly Tuesday night activities and Wednesday open sail periods
  • Collect related monies and receipts and submit to Club Administrator

 

Responsible to communicate with parents:

  • Conducts the weekly Monday morning Beginner parent and new student welcome and JSP overview meetings
  • Notify parents of attendance issues, medical issues or necessary parent notifications
  • Resolve student/parent issues, complaints, note suggestions
  • Creates and/or offers feedback to all communications with parents - electronic, USPS and notices send home during the program

 

Responsibilities as Aquatics Director:

  • Oversee/conduct student swimming evaluations and be daily Lifeguard on Duty

 

Responsibilities as Health Care Supervisor:

  • Provide First Aid and record student/staff injuries, medical conditions, treatments, etc. in designated JSP Medical Log
  • Work under direction of Camp Health Care Consultant in the development and execution of JSP's Health Care Policies which includes the first aid and emergency care procedures, storage/administration of medications, care of mildly ill campers, administration of medication and the procedures for providing emergency health care and is spelled out in the OYC JSP Illness Medication, Emergency Treatment Policy document and the OYC JSP Medication Storage-Administration Authorization.

 

Work with OYC Administrator who is responsible for:

  • Administrative tasks relating to managing the Junior Sailing Program
  • Renewing Annual Camp permit and related town/state paperwork
  • Keeping accurate Registration database/Invoicing/Payment Records
    • Confirm placement and send appropriate confirmation information
    • Process approved expenses, collect activities/sales monies
    • Track repeat students, levels, classes, referral information
  • Communicating program information to members, parents and public.
  • Assisting with issues, budgets, etc. when needed
  • Facilitating JSP website updates
  • Assisting with JSP application & Brochure updating, preparation & distribution
  • Providing On-shore radio/equipment support when needed
  • Maintaining complete JSP staff employment records
  • Vetting of Staff & Volunteer & Member CORI/SORI, reference checks, medical documents, etc.
  • Processing & distributing weekly payroll
