Job Description | Race Director
To provide a physical and social environment for our members and families to pursue and to perpetuate the highest ideals of yacht racing and sportsmanship; to assure regional and international leadership in the sport.

Newport Harbor Yacht Club (NHYC) hosts over 25 regattas a year including junior, high-school, colligate, fleet racing, team racing, offshore, and international events. During the same year, NHYC also participates in over 15 challenge events throughout the United States and Europe.

Title: Race Director
Reports to: General Manager, in collaboration with the Board of Directors and Fleet Captain.
Supervises: Supervisory duties include Race Administrator and waterfront revenue responsibilities in collaboration with with junior sailing office and boat department.
The Race Director also works in close collaboration with the Yacht Racing Council, Race Committee Chair, Regatta Chairs, Regatta Volunteers, Protest Committee, Challenge Committee, Trophy Committee, and other departments including: junior sailing office, boat department, food & beverage, accounting office, and marketing communications.

1. Education and/or Experience
a. High School diploma or higher education required. College degree preferred.
b. At least 10 years sailboat racing experience.
c. US Sailing Certification as Regional or National Race Officer, Umpire or Judge

2. Job Knowledge, Core Competencies and Expectations
a. Highly organized, enjoys building and orchestrating teams, creates and manages an extensive library of race documents.
b. Proficiency in Microsoft Office (Outlook, Word, Excel) and Google Suite applications.
c. Strong expertise in writing, and collaborative review of racing documents (Notice of Race, Sailing Instructions, amendments, and other notices).
d. Strong experience in coordinating and supporting race committees, judges, umpires and racers in their respective roles prior to, during, and following regattas.
e. Experience with managing one-design, inshore, offshore, fleet, and team racing.
f. Can proficiently operate 13’ to 40’ powerboats, understanding of coastal navigation a plus.
g. Experience in rental operations & management: sail and power boats, lockers, and yard space.

3. Job Summary (Essential Functions)
The Race Director plans and executes regattas and other waterfront functions at NHYC, including but not limited to: race publicity, race documentation, volunteer personnel coordination, and equipment management. They also operate in liaison with all departments at the club to communicate club operations to the membership, including working with event chairs to determine advertising and registration needs for club events. Must be able to work a flexible schedule with occasional extended hours based on needs of the department and regattas.

4. Job Tasks/Duties – Race Director
a. Coordinate upcoming race calendar for the year. Currently done on an annual basis, but portions could be completed prior to year-end so that member functions and NHYC social events can be planned.
b. Prepare Notice of Race and registration information, Sailing Instructions, Amendments, and publish race results promptly.
c. Obtain all necessary permits from governmental agencies to host regattas.
d. Coordinate with member volunteers, including PRO, and liaison for housing, judges, and regatta events.
e. Maintain and organize race committee equipment and supplies, ensure race committee boats are properly outfitted and provisioned during regattas.
f. Assist with on-the-water execution of regattas.
g. Provide support to Jury secretary during major regattas.
h. Maintain select historical records, including perpetual trophies.
i. Maintain member achievement log for preparation of annual awards

5. Job Tasks/Duties – Challenge Events
a. Liaison with member volunteers in charge of specific travel events, including team race events and other (travel-required) challenge events.
b. Responsible for entry to challenge events in coordination with Fleet Captain. Support travel logistics and funding from Race budget. Each event has an event captain and responsibility has traditionally been the Race office only coordinates flights from SNA to the airport nearest the venue. Traditionally, other logistics (members flying from elsewhere, rental cars, lodging, etc.) are handled by the team captain.

6. Job Tasks/Duties – Department Budget
a. Responsible for management and oversight of the yacht racing budget - including hosted events, challenge events, yacht racing equipment, and supplies.
b. Works with the Boat Department in the analysis and oversight on the usage of the boatyards (including rental spaces for boats and lockers). Member committees will address rental rates and any raises.
c. Includes promotion and management of the rental of NHYC coach boats (includes several center console coach boats) that can be rented to third party coaches for local (SoCal) events. Responsibility is to manage inventory and promote the use of the boats when not scheduled for NHYC use.

7. Physical Requirements:
Must be able to lift 50 pounds safely. Tasks involve requirement to sit/stand for long periods of time and walk, climb stairs, balance, stoop, kneel, crouch, bend, stretch and twist, or reach, and that may involve pushing, pulling up to 50 pounds. Ability to work in an environment that can be hot, noisy, and fast paced at times.
